For WCZJ, Willow contacted me last week to remind us to hold a weekend at Heartbarn.... I didn't discuss dates at that time but would like to propose the 2nd weekend of August ....Perseid meteor shower weekend!

Heartbarn can accommodate 100 people for outdoor gatherings now... and weekends are now priced at $1000 per night.

Let the discussion begin....

Reminder... while this is an ideal camp area with lots of room, there are also indoor spaces with bunks and a queen bed for those who want to claim one...

Given the increased pricing, we would need early commitments and more Zoners to make this fly. 

I also read that Barry Sless' Electric Tumbleweed is looking for private gigs... this could be an ideal time to attract a band in advance...

instead of sless, just get DNB for the zoner jam and call it a weekend.

Heartbarn looks amazing, but the Oregon coast is a really long trip for some of us. Any chance of finding something similar that's more central? Maybe something in Marin, or Half Moon Bay, or Santa Cruz?

And folks, Heartbarn in Oregon is a really good location even if you have to drive 8 hours or fly in to Eugene: I was just on the phone w/ the manager of Mountain Theatre on Mt. Tam -- he says they are not anywhere near to allowing reservations for private events due to the fact that it's a public facility, they need to revise their protocols for COVID liabilities, and they don't have word yet about when they can move forward w/ events -- so this summer is unlikely. 

If someone knows of a private camping venue w/ an indoor stage w/ mixing board, audio equipment, mics, and kitchen and beds that rents for $2000 for 2 weekend nights, please point me in that direction. 

The less we spend on the actual venue, the more we can contribute to a band. 

Who can help with reaching out to Barry? 

Given the JRAD Frost date, proposing the weekend prior -- August 7 -- I'm worried about wildfire season if we go later in August.

It says there is camping for over a hundred. Plus other accommodations.  If we could sell 100 to 125 tickets, we could have DNB for one night and a Zoner jam the other night and other amenities maybe including food (beer?).   I gotta think there might be 50 or so non Zoners that would pay that to see DNB in front of a hundred people. And I bet we could get quite a few easties out here too. Maybe combine east/ west for this yr?  Maybe charge more for those in the "other accommodations" and less for the campers?

OK. Maybe I'm dreaming, but it sure sounds good to me.  We would need to know their(the venue) cost first and go from there. Might be cheaper than that. 

  I guess a lot depends on what this pandemic does between now and then.

I might recommend two nights of DNB if you want to pull people from out of the state/coast.    In years past, the event has been a wonderful all-day shoe.   Why not let the zoner bands leading up to the main event both nights?

At that rate, it would be cheaper to rent out a big section of Darling's Reunion the weekend of OCF just for zoners. Comes with nightlife, daily entertainment etc.

I think if you get DNB for two nights, you'll get people to fill the spots especially if there are only 100.  Shit, I might come from GA.  Not committing but I'd think about it.  Timing matters.   Capacity matters.   If you open it up to 200 then does the price cut in half?   you might get another 100 people.

Something else to consider would be whether DNB might be doing some harvest time shows later in the year. Maybe we could piggyback on that?

TXR has an outdoor stage area still, don't they? It's not as perfect as as Muir Beach would be but I'm thinking accessibility, and it's already a destination for easty and midwest zoners.

Updates and comments:

I spoke w/ the rental coordinator at Saratoga Retreat Center today. She will email me ballpark numbers by the end of the week. It sounds like our kind of place -- Burners regularly host weekend events there.  They have 263 acres with separate little valleys, not to mention the hot spring pools and other amenities.  My contact there was super cool, and she said that there are 2 weekends available now that last year's rental parties have not yet claimed:  The 2nd weekend in July and September 9-12.  Since today's announcement of full reopening for California, she is crazy busy dealing w/ last year's reschedules this week... so those dates may get booked soon, and other dates may open up.

TXR is a for-profit business with the restrictions that go along with it. We wouldn't be able to camp, make paella, cook our own food, etc. 

Applegate  is a good idea, and I actually have a connection to the owners. But pretty sure they haven't been booking anything lately. I'll check it out.  But that's also a for-profit business.... and if Zoners are already whining about driving to Heartfarm (last year's location), why would they go to Applegate? 

To make it worthwhile for Zoners from afar, this should be a 2-night outdoor event with a mix of camping space and beds, facilities for band set-up and a kitchen we can cook in.... so far, this thread sounds like there's more interest in just going to 2 DNB shows (wouldn't we all love THAT!) as opposed to a weekend of Zoner jams and time together.

I'm not yet confident that we can raise funds for 2 DNB shows in addition to facility rental.  Last year, due to low participation, I had to subsidize a portion of the rental for Heartbarn, which isn't as nice as Saratoga.  

In Occidental last weekend, I made a connection to players from Electric Tumbleweed, so now I have a connection to DNB via Barry. ... will start that inquiry tomorrow.

Once everyone is aligned on the purpose and goal of the event, scale-down can happen.... and maybe we'll still end up in Oregon because it's likely the most affordable option. 

Also, I will need someone to step up to help coordinate this year: Yesterday I got my official list of projects at my new job.... 15 projects (rolling deadlines, not all busy at the same time), including 8 open space preserves to be the communications lead for... the good thing is that part of my homework will be to hike all of them and get to know the audiences and issues about each --- dreamy! 

Who wants to go hiking on the peninsula?   Though it's been my habit, I'm not supposed to hike solo due to mountain lion activity -- there was one at the neighbors the other day...

It would be safer to hike with a dog than solo, but unlike East Bay open space (which even allow dogs off leash) , most all of Peninsula open space trails ban all dogs - on leash. No areas allow off leash. Yeah, that's my 'beef' considering cattle are allowed to graze and horses are allowed on most trails so the 'dogs disturb the wildlife' argument is bunk. And well, would it be so bad if mountain lions avoided the trails if they detect dog scent? Communicate that, please. ;)

I'm actually off to a trail for sunset right now w/ Micco the house german shepherd -- I walked him for the first time earlier today and we got along great....and this trail is good for dog walking -- all on private land.

I could go either way - shows w/ camping or Zoner jam with or without camping, but chances are I would be more willing to travel further for a couple of actual shows.

We two are interested, too.  

If $100 covers show and right to park/camp, per day, that's great. 

Understandable if the rate increases, however.

And of course, the date may make a difference.

Let's get some dates and place locked in.  Setting a firm deadline for selecting the dates and venue will ensure things push ahead.  How about we get this figured out and a venue booked by May 1?   Happy to help out in getting this rolling.

Calling Mark D!  I did not hear back from Saratoga Retreat Center today. Probably early next week. So, I won't join you this Sunday, looking forward to hearing what you think if you do end up going there this weekend. 

In band news, I heard from my connection at Electric Tumbleweed that if the location is in northern California, we can get them + Barry for $2K for 1 night.

So, that's a starting point.  Writing DNB next.

DNB - 10K (still?) times 2 shows = 20K,  divided by 200 people = $100 each, plus say $50 for 2 nights camping.

$150 each.- we could swing that.

Talked to the coordinators at Nelson Family Vineyards (camping only, no cabins)....

.....and Saratoga Retreat Center (camping + cabins + yurt w/ beds for the band or as a green room + lodge w/ indoor stage or outdoor patio for performances + use of commercial kitchen).... both sound promising... and the coordinators are cool w/ the event format -- and Saratoga now has a new unclaimed weekend of July 15-18. 

I'll have ballpark numbers within 48 hours, sounds like.

Hey johnny D -- I cannot hike during business hours right now -- so that's for the weekend -- let's talk...I could maybe meet for a hike this Sunday on my way home from Half Moon Bay.... but not sure where you live.... following weekend would be better, most likely.  I'm being conservative with booking out my weekends because my new job is pretty intense, lots of reading, already  behind... and that's priority.

Now back to Zoner Jam -- Below is an image from Saratoga, assuming 100 people total, with 75 getting beds and 25 individual tents.... My eyes were like saucers when I saw the totals... if only, LOL!  This place sounds like a dream come true.

Who is good at cutting down an estimate like this to represent true interest and what we really need?   

Cutting it to 1 night is possible, but it's such a cool place w/ many amenities, it's worthwhile to stay for 2, agree?

Maybe we could reverse the numbers to 25 beds and 75 tents?  Maybe we only need kitchen access for night 2 (for paella prep)?

These are just fantasy body counts, had to start somewhere.....  and that ice fee needs to be 25 X greater, LOL.

It's fun to dream about whether a nicer location like this might be what attracts more Zoners to fly in and make this a vacation.

That total looks high at first, but broken down that works out to just over $200 for someone in a bed for two nights, and about $125 for someone in a tent (assuming my math is correct). That doesn't seem too outrageous for two nights lodging and amenities. One question: are the bed and tent rates based on single occupancy? What about couples, etc?

Mike -- Thanks very much for your offer to help -- with the demands of my job, I'd really appreciate some help. I'll email you later on. 

I sent your questions to Saratoga along with some of my own. I'm thinking that reducing the kitchen access to one 24-hour period (6pm Friday to 6pm Saturday) would be a good way to cut costs, as well as rent the lodge for Saturday night only. Friday night, musicians could play at their outdoor space, which has electrical hookup too.  I also asked her what if we only get 25 or 50 Zoners (and partners), which is still ambitious.

The tricky part of this is coming up with deposit money and with band money when we don't know which Zoners will commit yet. 

Finally, we need to ask if there are requirements for event permits or health permits. 

Much more involved than the Oregon site!

I bet we could get that place for 15,000 (or maybe even less). If we could get a hundred people(yeah that does sound like a lot) then 150.00 per for 2 nights would get that part done.   Say we could get 50(still a lot, but maybe achievable),  say 15-20 tents and 15-20 beds(accounting for couples).  If we could work this for 250-300 each,  we could sell tix to DNB at 100.00 per for folks not staying there and 50.00 for folks staying there. We would have no trouble selling 100 outside tix for 100.00 each. Trust me.  We might even be able to include the concert for the 50 Zoners staying the weekend.

Excellent suggestion! I'm not at all sure I'd be able to go to something planned for multiple nights, overnight stuff isn't currently an option for me even under the best circumstances, but I love that spot and would definitely hit it!

Navarro was a pretty "primitive" scene, for lack of a better term.

There were issues there - not all the fault of the venue, but not going back there again.

If the idea is to throw away 15k go for it.    Unless someone has a bigtime rug biz you're pissing in the wind.   Shit --- fly east, I have plenty of room and for 15k youd get 4 square(dont forget about the midnight snack), plenty of rugs, kegs, full bar and bathrooms.

About a 4 hour drive from Philly, very doable for an overnighter or 2.

About 5 hour drive for me, also very doable. Would a band be able to play there?  

Yeah, if west coast zoners expect DNB, we need to find financial backers soon: Barry just answered my booking inquiry.....We would be responsible for paying the band $10K per night + lodging + sound + lights.

Who wants to volunteer to be CFO for this effort?  

I'm still not confident that we could attract 100 Zoners @ $100 each + whatever the lodging + sound + lights cost.

 

I'm thinking it would be a good idea to send an email to all Zoners, since many don't check in here, to promote ... but first want to think through the logistical steps and how we could set up electronic payment portal, etc. 

If anyone has experience with that part, please let me know... I need way more support this year due to new job.

 

Either we find a free property and book DNB, or have a Zoner jam w/ Zoner musicians, or maybe a less expensive local band.... and pay for a cool site like Saratoga.

I don't know how you were thinking of getting email addresses of zoners, but I'm sorry, we can't share them from Viva, that's part of protecting people's privacy.

An ECZJ this year would probably be so much fun.

Also, Huck has been talking with people on Facebook about an ECZJ and are now planning it for 2022 in North Carolina where she and Mermaid live. I believe it will include celebrating her and Mermaid's wedding in March of this year. She has talked about it in the Facebook group Phriends of the Zone, which pretty much anyone on Facebook can join.

Lots of work going on.

While having DNB at a Zoner Jam would be kick ass, there will hopefully be other opportunities for a separate zoner get together/DNB party assuming harvest tour happens this year.  Let someone else worry about the $10,000 + lodging + sound etc.

Personally, I'm looking for a fun outdoor camp experience and jam by Zoners who play, more so than DNB.

I prefer finding a cool location and dedicating $$ to smaller local bands. 

 

 

Yikes. What ever happened to setting up the band on a flatbed truck in the park, and running extension cords from nearby houses?

I'm guessing a PA and lights would be an additional $2-3k, and then there's the band's lodging and food expenses. We're easily looking at $15k it sounds like, which would mean we'd need 300 people at $50 each to cover the expenses for one night of DNB, but at that point, we'd be hosting a concert rather than a private party, and that would complicate things greatly with permits, et cetera. DNB would seem to be ruled out unless I'm missing something here.

One other possible option off the top of my head - if Moonalice is gigging this summer, Roger could subsidize the effort until tix are sold.

BTW I think in the spirit of the WC/ECZJ  Zoner bands should fill the music bill.

I'm glad to see the conversation evolving... but until a firm vision floats to the top, I'm going to step away from trying to lead that discussion. 

I've got other priorities to focus on, and it seems like there are many good leaders and implementers who have been involved on these threads so far.


I did a bit of research on viable locations and with the band you seem to want the most, just to show you the numbers. 

I participated in the survey, and posted in this thread (about 5 messages up) about what my vision is. 

One way that I may be helpful: occasional location scouting -- just because I have been enjoying weekend road trips to explore my new home. 

I'll be happy to pitch in again on specific tasks once a date and location are set.

Oregon Zoners: If something does get planned, you better make the trip as I want to see you all again!   :)

What started out as a discussion about a zoner camping thing, with zoners providing the music, has quickly shifted to something entirely else. I'd be lying if I said I didn't get very excited about the prospect of incorporating DNB into WCZJ, but what we've learned in the last few days is that's a very expensive proposition, even if it's held at a free site like Blaise has suggested; the Chicken Ranch seems ideal in some ways, but it's day use only with no camping.

What I'm seeing is that maybe this needs to become two different discussions about two very different events. I'm still interesting in helping if someone wants to take the lead on the WCZJ camping/zoner music thing, but I'm not in a place right now where I can take the lead.

What I can determine from the survey responses so far is the majority of folks prefer Northern California and the Bay Area over Oregon and Santa Cruz, and the majority also preferred July or August over earlier or later dates. So, with that in mind, what does the group think we should do next?

I think the other question that has been thrown out is "What is the WCZJ?"  Is it a camping trip for 30 (my best guess) which is what I presume is what shape it's taken in previous years or does it want to be an afternoon of celebration which is what it originally was at JGA?

I'm probably oversimplifying it but I don't see the Blaise option as too expensive.   I'm confident 100 people would show up for DNB and with this site losing individuals each year, it's something to consider to be more inclusive.  Further, if you do it in the afternoon, then you don't need lights.  It seems close enough, you wouldn't have to put them up for the night (who stays in a hotel just around the corner from your house).   

What does excite me is the thought of people coming out of the woodwork for this and I think they would.  I think you could pull some old zoners out for an afternoon and it could be quite delightful - Canyon, Budboy, Emily, and so many more would surely come.   Would they come if it's just a camping trip?.  Kate and I have suggested we might travel from the east coast.   Surely Turtle would travel from the south.  

Forever the realist, I'm being a bit more optimistic on this one.  

As far as putting up 10k which seems like a bit of a hurdle, I'm likely to think you could find 10 people to throw in one k.   Depending on the date, I might be one of them.  And then it's up to those ten people to find 9 others who want to go.   Charge $120 to cover the band and some food costs for the band and any unforeseen costs.   I'm confident I can find 9 people to come rock at DNB with a big bunch of zoners for an afternoon.

Jonas, I'll volunteer to help organize a ECZJ, it sounds like you have a good spot.  Send me a note, email in profile.  I suggest a new thread just for 2021 ECZJ. 

Would be Quite Nice to have another East Coast Zoner Jam this Summer.

JonasPond seems to have a proper space for that sort of affair,  but alternatives could be County or State Parks set up with camp spots and electricity.

I can look around my area (Central Jerseyland) and see what's available for such a Jamboreeeee.  Probably more like private Campgrounds,  off the main road,  with RV hookups,  like a campground.  There are a few like that in my area, near "Six Flags Great Adventure".

Wouldn't be a 17,000 dollar Wedding Ranch, more like "Hey we will pay 2-3 grand to have 4-5 RV's, 30 tents and Live Music all night for a couple days..."

Also Weed is now legal in Jerseyland,  so people could puff without Fear of cops. 

Main concern would be "does this Campground have functional toilettes / showers,  and can we set up BBQ grilles for Cooking ? "
